Connecting your calendar is essential for automated booking. Once synced, the AI can check availability in real-time and book appointments without your intervention.
Before You Start
Make sure you have:
- Admin access to your Google or Microsoft account
- A calendar dedicated to bookings (recommended)
- Your business hours already configured in Infinity Pro AI
Connecting Google Calendar
Navigate to Integrations
Go to Settings → Integrations → Calendar
Click 'Connect Google Calendar'
You'll be redirected to Google's authorization page.
Grant Permissions
Infinity Pro AI needs the following permissions:
- View your calendars
- Create and edit events
- Send event notifications
Click Allow to proceed.
Select Your Booking Calendar
Choose which calendar the AI should use for appointments:
We recommend creating a dedicated "Bookings" calendar to keep appointments separate from personal events.
Configure Sync Settings
Set your preferences:
- Sync frequency: Real-time (recommended) or every 15 minutes
- Buffer time: Add padding before/after appointments
- Conflict handling: How to handle double-bookings
Calendar connected successfully! The AI can now check availability and book appointments automatically.
Connecting Outlook Calendar
Select Microsoft Outlook
In the Calendar integration page, click Connect Outlook.
Sign in with Microsoft
Enter your Microsoft 365 or Outlook.com credentials.
Authorize Access
Grant Infinity Pro AI permission to:
- Read your calendar
- Create calendar events
- Update existing events
Choose Calendar and Configure
Select your booking calendar and configure sync settings (same as Google Calendar above).
If you use both Google and Outlook, connect only ONE calendar to avoid conflicts and double-bookings.
Testing Your Connection
- Send a test booking request to your AI assistant
- Check if the appointment appears in your calendar
- Verify you received a confirmation email
- Try modifying the appointment through the AI
Advanced Settings
Buffer Time
Add time before/after appointments for preparation or cleanup:
- Before: 5-15 minutes (prep time)
- After: 5-15 minutes (cleanup/notes)
Booking Windows
Control how far in advance customers can book:
- Minimum notice: Require at least 2 hours notice
- Maximum advance: Allow bookings up to 60 days ahead
Multiple Staff Calendars
For businesses with multiple service providers:
- Connect each staff member's calendar
- Assign services to specific staff
- Enable round-robin or customer preference booking

Can I connect multiple calendars?
Yes! You can connect multiple staff calendars. However, only connect ONE calendar per staff member to avoid conflicts.
What happens if I disconnect my calendar?
The AI will stop syncing appointments. Existing bookings remain in your calendar, but new ones won't be added until you reconnect.
Does this work with Apple Calendar?
Yes, if you use iCloud Calendar. Connect it through the Google Calendar option using your iCloud credentials.
How secure is the connection?
We use OAuth 2.0, the industry standard for secure authorization. We never store your calendar password.
Troubleshooting
Calendar not syncing
Solution: Disconnect and reconnect your calendar. Check that you granted all required permissions.
Appointments appearing in wrong timezone
Solution: Verify your timezone in Settings → Business Details matches your calendar's timezone.
Double bookings occurring
Solution: Ensure only ONE calendar is connected per staff member. Check for overlapping availability windows.
"Permission denied" error
Solution: You may not have admin rights. Contact your IT administrator or use a personal calendar account.
